Expressions of interest are invited for the permanent position of Executive Assistant / Program Officer for the AusAID office at the Australian Permanent Delegation to the OECD. This position will become available in March 2010.
The successful applicant will provide high-level executive and administrative support to the Counsellor (Development Cooperation – AusAID) and manage AusAID’s corporate responsibilities. This will include administering AusAID finances, providing support for high-level visits, organising and facilitating official travel, assisting with meeting preparations, updating and maintaining office management systems, and representing and reporting on meetings.

Your statement should focus on your achievements; identify how your experience, knowledge, skills/abilities, personal qualities and other qualifications help you meet the selection criteria. Please indicate specific examples of tasks or projects that you have undertaken, problems you have solved or achievements relevant to the criteria and the duties. Provide a clear picture of your roles and responsibilities in the functions and tasks that you describe. This will also demonstrate your written skills and your ability to communicate succinctly and effectively.

Duty Statement:
a) Provide high-level executive and administrative support to the Counsellor (Development Cooperation - AusAID);
b) Administer AusAID post finances (including preparation of budgets and estimates, management of Departmental and Administered budgets, expenditure monitoring, processing claims for payment, collating basic financial reports, and certifying official expenditure when required);
c) Provide support for high-level visits by Australian Government Ministers and Canberra-based officials;
d) Organise and facilitate official travel for AusAID at Post;
e) Assist with meeting preparations including meeting registration, management and collation of documents and briefing material from the OECD and other international organisations;
f) Maintain and update files and office management systems; and
g) Represent AusAID at meetings and provide follow-up reporting.
Selection Criteria
1. High level administrative skills including familiarity with PC and internet based computer systems and applications software (particularly e-mail, word processing, spreadsheets);
2. Skills in budget management and financial administration;
3. Excellent communication skills, including a high level of spoken and written French and English;
4. Representation and reporting skills;
5. Capacity to exercise sound judgement and discretion;
6. Ability to work effectively and harmoniously in a small team environment and with minimum supervision; and
7. Applicants must be a national of Australia and not a French dual national and must be eligible for an Australian Government security clearance.
