ADMINISTRATION AND CORRESPONDENCE OFFICER (ACO)
DEFENCE OFFICE PARIS

Applications are called for the position of Administration and Correspondence Officer (ACO) within the Defence Office of the Australian Embassy, Paris, at the BroadBand 2 level (2550.97€ gross * 13 months).

The successful applicant will provide administrative support to the Defence Office Paris with particular emphasis on correspondence and related record keeping, file and asset management, travel organisation and driving duties.

The Administration and Correspondence Officer (ACO) will need to have an understanding of the organisation and functions of the Australian Department of Defence, be capable of working independently, have highly effective language skills in English and French, be capable of working with a minimum of supervision and have the capacity to work well within a small team environment.

Duty Statement

Position: Administration and Correspondence Officer (ACO) - Paris

LES Level: Broadband 2

This position is based within the Defence Office of the Australian Embassy, Paris and reports directly to the Defence Attaché (DA) Paris.

The duties of the position include:

• providing administrative support to the Defence Office, with particular emphasis on correspondence and related record keeping

• management of all Defence Office unclassified mail and maintenance of Correspondence Register

• management of the Defence Diplomatic Clearance procedure

• responsibility for Defence Office travel bookings and production of Defence Movement Requisitions

• Defence Office driver and management of the Defence Office vehicle

• translation tasks and preparation of basic administration-related correspondence in French and/or English as required by the Defence Attaché

• overall asset management for the Defence Office Paris

• management of Embassy apartments leased for use by Defence personnel

• perform filing and associated file management activities of unclassified material

• purchase and stock level management of Defence Office stationery and general office consumables

• assistance to the Research and Finance Officer (RFO) as required - in particular the coordination and management of mobile telephone invoices for Defence Office personnel

• assist Defence Office staff with commemorative and representational functions

• act as visit clearance coordinator when required

• other duties as required


General Requirements and selection criteria


General Requirements:

1. Applicants must be a national of Australia and not a French dual national and must be eligible for an Australian Government security clearance.
2. Candidates must submit a copy of a valid work permit/visa for employment in France and a copy of their valid driver licence.
3. Fluency in English and a high level of written and spoken French is essential. Applicants being considered for the position may be required to undertake, and if so pass at a high level, oral and written tests in English and French.
4. High level skills in Microsoft Office and internet are essential.


Selection Criteria:

1. An understanding of the organisation and functions of the Australian Department of Defence.
2. Highly effective written and verbal communications skills, both in French and in English.
3. A valid driver licence.
4. A demonstrated capacity to work independently and with the minimum of guidance.
5. A demonstrated capacity to work well within a small team environment.
6. A willingness to work evenings and weekends as required.
