Exhibition terms and conditions


INTRODUCTION

The Australian Embassy in Paris provides a venue for exhibitions, open to the public during office hours. The areas available for exhibition include the main foyer and the auditorium foyer (multipurpose space). The auditorium may be made available for media conferences or presentations.

A. EXHIBITION CRITERIA AND SELECTION PROCESS

The Australian Embassy in Paris provides a gallery space for exhibitions that promote Australia as a culturally-diverse and/or technologically-sophisticated country to the French public. Exhibitions held at the Embassy should generate a better understanding of modern Australia by conveying contemporary messages about its culture, society, economy and/or technology.

Proposals for exhibitions are reviewed in committee and approved by the Ambassador. The Embassy will, from time to time, seek to promote particular themes through a succession of exhibitions that coherently convey a certain message or concept. The exhibition program is generally finalised 6 – 12 months in advance. The Embassy reserves the right to cancel an exhibition at any time, should it be recognised that the exhibitor has not fulfilled terms and conditions of agreement.

B. GALLERY HOURS

Exhibitions are open to the public from 9h00 to 17h30, Monday to Friday. For security reasons, exhibitions are closed outside these hours, on weekends and public holidays.

C. GALLERY SPACE

Main Foyer

The main foyer is the principal space for exhibitions, with a floor area of 350m2 and a working height of 5m. Easily able to accommodate 500 people, the main foyer is suitable for large receptions.

Hanging space

Northern Wall: Curved and comprised of 11 windows (240cm width) with columns measuring 52cm. Small works may be hung on each of the 11 columns.
Eastern Wall: Surface, granite. Hanging space, 9 linear m.
Southern Wall: Very limited hanging space.
Western wall: Surface, ochre pink paint. Hanging space, 11 linear m.
Lighting: 11 Ceiling tracks. 11 moveable spots (120 watts) per track.

Auditorium Foyer (Multipurpose Space)

More intimate than the main foyer, this area is suitable for smaller exhibitions, such as photographs or drawings.

Hanging space

Northern Wall: One flat wall, surface white paint. Hanging space, 4.5 linear m. One curved wall, surface white paint. Hanging space, 7 linear m.
Eastern Wall: Windows, unsuitable for hanging.
Southern Wall: Curved wall, surface white paint. Hanging space, 14.5 linear m.
Western Wall: Surface, granite. Hanging space, 9 linear metres.
Lighting: 9 Ceiling tracks. 7 moveable spots (120 watts); 24 fixed spots (75 watts).


In addition, the Embassy owns Glass Cabinets and Pedestals which can be used for exhibitions:

1 table top glass cabinet (60 x 120 cm, height 96 cm)
7 x 'armoire' glass cabinets (40 x 100 cm, height 170 cm) each with four removable glass shelves
4 x pedestals (50 x 50 cm, height 103 cm)
3 x pedestals (40 x 40 cm, height 106 cm)
2 x pedestals (30 x 30 cm, height 105 cm)
(Please note that the exhibitor must paint the pedestals prior to each exhibition. Colour varies depending on exhibitors needs.)

The Embassy has a system of hooks and rods for hanging exhibitions. It is not an option to put holes or nails in the walls, or to use glue or double sided tape to affix any works onto surfaces in the building. The exhibitor must guarantee that the space will be returned in the same condition as it was prior to the exhibition.

D. ENVIRONMENT & SECURITY

Environmental control: Gestion Technique Centralisé (GTC) - this is standard French environment control which is managed by the private enterprise Societé Carrier and is computer monitored

Permanent Temperature: 23.9 degrees

Fire protection: Smoke detectors, linked to security

Fire extinguishers: 2 x 6 kilo portable water extinguishers, 2 x 6 kilo portable powder extinguishers, 4 x 2 kilos portable CO2 extinguishers

Security: The Embassy has 24 hour security guards on the premises. The guard room looks onto the main hall/exhibition space which is also monitored by security cameras.

E. OPENING NIGHT FUNCTION

In order to maximise public awareness of exhibitions at the Embassy, it is normal that an opening night will be held to launch a new display. These costs should be factored into the proposal to use the exhibition space (see below).

Catering items (tables, table‑cloths, wine or beer glasses, jugs, trays, etc.) are available from the Embassy for the opening night function. Given a minimum of two weeks notice, this service will be provided upon request. Any purchases of food or drink, provision of waiters etc must be arranged and paid for by the exhibitor or their chosen agent.

Kitchen

A kitchen equipped with basic facilities (refrigeration, water, dishwasher), adjacent to the multipurpose space, may be used free of charge, provided that the exhibitor undertakes to leave it fully cleaned and tidied at the end of the function.

F. HOW TO APPLY FOR EXHIBITION SPACE

To be considered for an exhibition at the Embassy, you must provide:

Proposal
A precise, succinct and clear presentation of the exhibition, including:

The name of the exhibition
The objective of the exhibition which addresses the exhibition criteria listed in A above
The message of the exhibition
The people involved in the exhibition
Recommendations and reviews
CV and concise biography of the artists involved in the exhibition
Contact details of organisers, artists and galleries involved

A list of proposed works with their format and dimensions
Hanging plan (a floor plan should be attached)

A detailed budget must be submitted in all exhibition requests which should factor in the following expenses:

Customs
If works are coming directly from Australia, correct custom procedures must be followed. Please contact your local chamber of commerce for current customs requirements


Insurance
Installation
In considering an exhibition’s opening date, you must include a minimum of five days for installation, including lighting
The Embassy cannot provide personnel to assist, therefore the organiser must arrange own help for installation


Invitations
The Embassy can assist with design, wording and distribution; all invitations must be proofed and approved by the Embassy
Flyers are to be produced by the exhibitor (optional)
The organiser must arrange their own printer
Guest lists provided by the organiser must be in Excel format.
