VACANCY –FIXED TERM CONTRACT
Deputy Head of Mission Administrative Assistant
(BB2.0 – Gross Monthly Salary € 2493.13)
Applications are invited from persons interested in the position of Deputy Head of Mission Administrative Assistant at the Australian Embassy, Paris. The position is available as from now, until 07 November 2008.

Duty Statement
• Provide organisational, administrative and policy assistance to Minister and officers in the Political Section and UNESCO mission;
- provide high level secretarial and administrative support
- schedule appointments for the Minister and branch officers, arrange meetings, lunches and other official functions; and
- assist branch officers organise programs and appointments in Algeria, Mauritania and Morocco.
• Undertake general research/enquiries as tasked by the Minister and other officers, including assistance with public diplomacy events as required.
• When required, attend meetings, draft reports for Canberra and provide summary information.
• Assist with reporting requirements associated with the French EU Presidency.
GENERAL REQUIREMENTS AND SELECTION CRITERIA
General requirements
1. Applicants must be a national of Australia, and ideally have an Australian Government security clearance or be eligible to obtain one (in which case some additional duties may be allocated to this position).
2. Non-EU citizens must submit a copy of a valid work permit/visa for short-term employment in France. Applications that do not specifically address and satisfy this requirement will not be considered.
3. Fluency in English and French (oral and written) is essential. Applicants being considered for the position may be required to undertake, and if so pass at a high level, oral and written tests in English and French.
4. High level skills in Word, Excel, and internet are essential. Applicants being considered for the position may be required to undertake a test to demonstrate their capacity to use such software.
Selection Criteria
Please note: All applications should specifically address each of the following selection criteria. Applications that do not do so will not be considered.
• Experience and proven ability in the provision of high level secretarial and administrative support to a senior executive.
• High level capacity to exercise discretion, confidentiality, judgement and initiative. Superior organisational and communication skills.
• Demonstrated ability to undertake research and analytical tasks with minimal supervision, set priorities and to meet deadlines.
• Ability to work effectively and harmoniously in a small team environment. Flexibility and high level interpersonal skills required.
• Working knowledge of structures and procedures of the Australian and French governments an advantage.
